GuildPilot (“we,” “us,” or “our”) operates a Discord bot and web portal that provides community governance, wallet verification, treasury monitoring, and NFT activity tracking for Discord communities. This Privacy Policy explains how we collect, use, and protect your information.

1. Information We Collect

When you use GuildPilot, we may collect the following data:

• Discord Account Data: Discord user ID, username, and avatar, obtained through Discord OAuth2 authentication.
• Wallet Addresses: Solana wallet addresses you voluntarily link for verification purposes.
• NFT Holdings: Token and NFT ownership data associated with linked wallets, retrieved from the Solana blockchain via the Helius API.
• Governance Data: Proposals you create, votes you cast, and calculated voting power within your Discord community.
• Usage Logs: Basic server logs including timestamps, request paths, and error information for debugging and service reliability.
• Session Data: A session cookie used to maintain your authenticated state while using the web portal.

2. How We Use Your Information

We use the collected information solely to provide and improve GuildPilot’s functionality:

• Authentication: To verify your identity and link your Discord account to the portal.
• Wallet Verification: To confirm NFT ownership and assign community roles within Discord servers.
• Governance: To facilitate proposal creation, voting, and voting power calculations.
• Treasury Monitoring: To display read-only treasury information for configured community wallets.
• NFT Activity Tracking: To monitor and report on-chain events for configured NFT collections.
• Service Improvement: To diagnose issues, improve performance, and maintain service reliability.

3. Data Sharing & Third-Party Services

We do not sell, rent, or trade your personal data to third parties. We integrate with the following external services to provide our functionality:

• Discord API: For OAuth2 authentication and bot operations. Your use of Discord is governed by Discord’s Privacy Policy.
• Helius API: For querying Solana blockchain data including NFT holdings and on-chain activity. Helius receives wallet addresses to fulfill these queries.

4. Data Storage & Security

Your data is stored in a SQLite database on our host server. We implement reasonable technical measures to protect your data from unauthorized access, alteration, or destruction. However, no method of electronic storage is 100% secure, and we cannot guarantee absolute security.

5. Cookies & Sessions

GuildPilot uses a single session cookie to maintain your login state on the web portal. We do not use tracking cookies, advertising cookies, or any third-party analytics cookies.

6. Data Retention & Deletion

We retain your data for as long as you use the service or as needed to provide our services. You may request deletion of your data at any time by contacting us. Upon receiving a valid deletion request, we will remove your personal data from our systems within a reasonable timeframe.

7. Children’s Privacy

GuildPilot is not intended for users under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal data, please contact us so we can remove it.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date. Continued use of GuildPilot after changes constitutes acceptance of the revised policy.
